Part-Time Added Chance Administrative Assistant-Contractor

The candidate chosen for this position will be responsible for providing and support to the overall Added Chance Program in areas of outreach and recruitment, database maintenance, follow-up with participants and caseworkers, reporting and preparing vouchers, as well as general clerical and maintenance duties.

ESSENTIAL FUNCTIONS AND RESPONSIBILITES

The Administrative Assistant is responsible for overall maintenance of office and files, data collection and staying in contact with caseworkers, caregivers and participants.

  • Maintain and update agency contact lists
  • General reception and telephone duties : forwarding calls and answering inquiries
  • Perform general clerical duties, typing, data entry, faxing, copying
  • Prepare, fax and or email monthly flyers as well as others, as needed, to agency contacts
  • Receive, process and catalogue caseworker participant referrals
  • Forward participant referrals to DCFS, accept and file referral approvals
  • Greet and sign in new participants provide and collect enrollment materials
  • Prepare, distribute and collect workshop materials
  • Enter new participant information into database/ update information as needed
  • Track and tabulate “barriers to employment” as reported by clients, caseworkers and program managers.
Organizational Requirements
  • Attend all ASN meetings
  • Attend all ASN sponsored trainings
  • Support ASN sponsored events
KNOWLEDGE, SKILLS AND ABILITES
  • Must be highly organized, with a wide range of interpersonal and clerical skills
  • Proficient in Internet, Microsoft Office, Word, Excel and Access
  • Type 50+ WPM
  • General knowledge of office machines, fax, telephones, copiers, scanners etc.
  • Excellent interpersonal and communication skills
EDUCATION AND EXPERIENCE
  • Minimum four years’ or equivalent administrative experience
  • Some experience working with at risk youth a plus
  • Bi-lingual Spanish<>English a plus.
  • High School or GED equivalent

Job Types: Part-time, Contract

Salary: $20.00 /hour
